Gmail & Google Calendar
The Gmail connection links your personal Google account to FunnelStory so your customer email threads and upcoming customer meetings show up on accounts, and so FunnelStory can send email from your own address. Each workspace member connects their own mailbox from Gmail Settings. It's a per-user connection, not a workspace data connection, so it doesn't appear under Configuration → Connections and doesn't back data models.
What FunnelStory uses it for
- Inbound email as conversations — Gmail threads with people at your customer accounts sync into FunnelStory as account conversations, attributed to you.
- Upcoming meetings — Events on your Google Calendar with people at your customer accounts sync in and appear in the Upcoming section of the account's Overview.
- Sending as you — Action Card emails and flow
email.sendsteps can go out from your Gmail address and, for flows, reply inside an existing thread. See Gmail and Calendar in FunnelStory.
Before you connect
- Use the Google account that matches your FunnelStory login. The Google address must be verified and must match your FunnelStory email (letter case doesn't matter). A different Google account is rejected.
- Check third-party app rules. If your Google Workspace restricts third-party apps, a Google admin may need to allow FunnelStory before you can connect.
Google's consent screen asks for these permissions:

Send email is required: without it the connection fails. If you uncheck the read-email or calendar permissions, the connection still saves, but FunnelStory skips email sync or calendar sync for you.
Connect Gmail
- Open the profile menu from your avatar in the sidebar, then choose Gmail Settings.
- Click Connect Gmail.

- Sign in with your Google account and approve the permissions on Google's consent screen.
- Google returns you to Gmail Settings, which now shows Connected as your address and a Re Authorize Gmail button.
If the connection fails, Gmail Settings shows why:

To change permissions or fix a broken connection, click Re Authorize Gmail and approve again.
After you connect
FunnelStory syncs in the background. There's no manual sync button.
Email syncs about every 15 minutes.
- The first sync looks back up to 30 days, starting with your most recent messages. In a very busy mailbox, some older messages from that window may not be imported.
- A thread syncs when at least one participant from outside your own email domain has a domain that matches one of your accounts. Once a thread qualifies, every message in it syncs, including your internal replies.
- Automated mail is skipped: calendar invitations, auto-replies, mailing-list and bulk mail, bounces, and read receipts.
- External participants are added as account contacts and linked to the conversation.
- When two teammates both have the same email in their mailboxes, it syncs as one conversation. It's attributed to whoever sent it if they've connected Gmail, and to the mailbox it was found in otherwise.
Calendar syncs about every 3 hours.
- Each sync reads the next 90 days from every calendar in your Google account and skips cancelled events.
- An event is kept only if you're the organizer or an attendee, and at least one participant from outside your domain matches an account. Free email domains like
gmail.comnever match an account. - FunnelStory reads a limited number of upcoming events per calendar on each sync, so a very busy calendar may not show every event near the end of the 90-day window.
- It's a rolling snapshot, not a history. Events you delete or cancel drop off after a later sync, and past events aren't kept.
Disconnect
Gmail Settings doesn't have a disconnect button. To stop FunnelStory from reading or sending mail as you, remove FunnelStory's access in your Google Account under Security → Your connections to third-party apps & services. Gmail Settings may still show Connected after that. FunnelStory only notices the revoked access the next time it syncs or sends as you, and that sync or send then fails. That includes Action Card emails, which don't switch to FunnelStory's no-reply address in this case. To send from FunnelStory again, click Re Authorize Gmail.
Gmail Settings vs. Calendar Settings
The profile menu also has Calendar Settings → Authorize Calendar. That's an older, separate calendar connection that feeds meeting prep, the Slack briefings you get before customer meetings. The two connections don't share access:
