Gmail and Calendar
Connect your Gmail when you want your customer email and upcoming customer meetings to show up on accounts automatically, and want emails you send from FunnelStory to come from your own address. It's a personal connection. Each teammate connects their own Google account, and nothing is shared from mailboxes that aren't connected.
Connect your Gmail
- Open the profile menu from your avatar in the sidebar and choose Gmail Settings.
- Click Connect Gmail, sign in with the Google account that matches your FunnelStory email, and approve the permissions.
- When you're back in FunnelStory, Gmail Settings shows Connected as your address.

Customer email on accounts
About every 15 minutes, FunnelStory checks your mailbox for threads that include someone from one of your accounts. Those threads become email conversations on the account. You'll find them on the account's Adoption → Conversations tab (your workspace may label Adoption differently), next to conversations from your other sources, and they're attributed to you. Replies stay grouped under the thread's first message, and the people you emailed are added as account contacts.
Your first sync looks back about 30 days. Internal-only threads and automated mail (calendar invites, auto-replies, newsletters, bounces) are skipped.
Upcoming meetings on accounts
FunnelStory also reads your Google Calendar about every 3 hours. Meetings in the next 90 days that include someone from an account appear in the Upcoming section of that account's Adoption → Overview tab, with the meeting title, date, and how many days away it is.
Only meetings you organize or attend are included, and cancelled events are dropped. The Slack briefings from meeting prep use a separate calendar connection under Calendar Settings, so connecting Gmail doesn't turn them on.
Email sent as you
- Action Cards — When your workspace allows sending email from FunnelStory, Send Email on an Action Card sends the draft from your Gmail address. Without Gmail connected, it goes from FunnelStory's no-reply address with Reply-To set to you.
- Agents and flows — An
email.sendstep withfromset to a teammate's address sends from that teammate's connected Gmail. It can also reply inside a thread an earlier step started. Seeemail.send.
Querying calendar events
Agents, flows, and MCP clients can query your workspace's synced meetings through the calendar_events and calendar_event_accounts tables. See the flow authoring guide.
